How line managers can help you stop chasing training completions
If you work in L&D, you probably know the routine: pull the completion figures, spot who’s overdue, send the reminder emails, then repeat next week. It’s repetitive work, and it makes L&D the only team accountable for whether training gets done.
It’s an all too familiar story for L&D teams, and the cause is rarely the learning itself. It’s the gap between the training and the person who sees your learners every day: their line manager.
How can we give managers the visibility and tools to play their part without adding to their workload?
Here are five tools in Breeio LMS that give managers what they need to support the training and development of their people:
1. My Team overview that shows who needs a nudge
Before a manager can help, they need to see what’s happening. The My Team area gives line and group managers a visual summary of each team member’s course validity, upcoming classroom events, pending approvals and outstanding objectives. Managers can click through to any individual’s record, or into the Course Overview, which shows every course assigned to the team and its status, down to module-level detail.
From there they can download a completions matrix for all courses, or a PDF progress report for an individual. They can also mark team members as away, which keeps the picture accurate during leave.
Why it reduces chasing: managers can see who is overdue without asking L&D, so conversations happen sooner and L&D isn’t the middleman.
Continuity: if a manager is on leave, Delegate my Team lets them pass the team temporarily to a colleague, who can see progress and action approvals and sign-offs. When the manager is back, one click reverts it, so training doesn’t stall.
2. Approvals and sign-offs managers can action in minutes
Some training needs a manager’s decision before it can move forward. Learners may request an optional course, ask to attend an instructor-led event or submit a practical module for sign-off. If those requests sit unseen, learners stall and completions slip.
Breeio makes pending items hard to miss. Managers see a count of required approvals and sign-offs on the homepage’s My Team tile and in the navigation menu. Approving or rejecting takes a few clicks, with the option to add a note, and the learner is e-mailed the decision.
For instructor-led training, approval also helps with resource planning. Managers can weigh attendance against workload, so training time is protected rather than squeezed in.
Why it reduces chasing: requests no longer bottleneck, and learners aren’t left waiting for a reply.
3. Automatic e-mails that prompt managers at the right moment
Managers are busy, and a system they have to remember to log into is a system they’ll forget. Breeio take the information to where they are.
- Overnight approvals e-mail: if anything needs approval or sign-off, managers receive an e-mail listing it. It only triggers when there’s something to do.
- Monday morning summary: a weekly e-mail to line managers covering outstanding approvals and sign-offs, overdue courses, upcoming course target dates and in-person events they’re attending that week.
Together, these work as a ready-made agenda for a quick team check-in, with no report-building by L&D.
Why it reduces chasing: the system prompts managers and gives them ready-to-use summaries, so you don’t have to.
4. Objectives and practical sign-off that link learning to the job
Completions matter, but what leaders care about is whether people can do the work. Two Breeio features help managers connect the two.
Objectives. Managers can set objectives for team members or review ones the learner has created. They can attach recommended learning and courses, add comments, and choose to “track” an objective so that only they can assess and close it. Training becomes part of the performance conversation rather than a separate task.
Practical modules. For skills that need evidence, learners can be asked to submit responses and uploads, and the manager reviews them, gives feedback in the learner’s account and signs off, or sends the module back for more work. It turns “I’ve done the course” into “I can do the task”.
For regulated professions, managers can also download a learner’s learning log and, where reflections are used, their reflections as a PDF, which supports richer one-to-ones and CPD evidence.
Why it reduces chasing: when learning is tied to goals the manager already cares about, it becomes part of the normal rhythm of work rather than an extra ask.
5. Scheduled reports and survey results that close the loop
Sending out reporting figures is one of the most time-consuming parts of an L&D role, and managers often say the data they receive is unclear or arrives too late.
Breeio lets you schedule saved reports to be e-mailed automatically, daily (weekdays), weekly, monthly or at the start of each quarter, in CSV or PDF. Breeio can send each manager only their own team’s report, and optionally add the report to managers’ dashboards. Set it up once, and the right figures reach the right managers, continuously.
Administrators can also give managers access to view survey results for their team, such as self-assessments, employee engagement surveys, or post-training reflections. Survey results include bar charts for multiple choice questions, average scores for Likert scale questions and a sentiment rating for typed answers. Results can be downloaded as a PDF or Excel file, anonymised if needed. Managers see the numbers and also the story behind them: whether people felt confident, and what got in the way.
Why it reduces chasing: reports arrive without you building and sending them, and managers get the context that completion data alone can’t show.
Setting managers up to succeed
Tools only help if managers know they exist. A few practical steps:
1. Involve managers early. Ask them what good performance looks like and what’s already been tried, so they feel ownership before launch.
2. Show them My Team. A 10-minute walkthrough on launch day pays back quickly.
3. Agree which features to switch on. Objectives, away dates, reflections, survey access and delegation scope depend on how your administrators decide to configure the platform.
Set a rhythm. Agree that the Monday e-mail is the weekly check-in and a monthly scheduled report is the team meeting data.
Give them simple talking points. A short script for team meetings makes endorsing the training easy.
The bottom line
L&D shouldn’t have to chase completions. When line managers have visibility, simple actions and timely prompts, training gets done faster, learning is connected to performance and L&D can focus on strategy rather than spreadsheets.
Breeio is designed to make that easy: less admin for L&D, fewer surprises for managers and better evidence for the business.

FAQ
How can line managers improve training completion rates?
By seeing their team’s progress in real time, acting quickly on approvals and sign-offs, receiving regular prompts and linking learning to team objectives.
What should managers be able to see in an LMS?
Course status and validity for each team member, upcoming events, pending approvals and outstanding objectives, plus the ability to download team and individual reports.
Do managers need to log in to Breeio to stay on top of training?
Not necessarily. Breeio e-mails managers overnight when approvals are waiting, sends a weekly Monday summary, and can send scheduled reports to their inbox.
